Position summary:
Senior Project Manager
(onsite, hybrid)

The Senior Project Manager is responsible for leading project execution across a variety of marketing initiatives, operating as the delivery steward for both internal teams and external client relationships. Partnering closely with Account Management and Creative teams, this individual will ensure seamless delivery across the full spectrum of project types — from brand identity and packaging design to small-scale digital initiatives to traditional marketing executions such as print, video production, and event collateral.  This role requires, both a big-picture and detail-oriented thinker who thrives in complexity and brings a structured approach to both digital and traditional workflows.

ESSENTIAL DUTIES & RESPONSIBILITIES

Project Management Process Leadership & Execution

  • Acts as the central operational lead across digital and traditional project types, aligning deliverables with client and internal expectations.

  • Develops comprehensive timelines and project plans that align with internal resource availability, channel-specific production requirements and client goals and objectives.

  • Manages execution of basic digital efforts such as website redesigns, content updates, microsites, landing pages, email campaigns and digital media assets and traditional marketing deliverables, including print collateral (brochures, signage, direct mail), broadcast/video production, radio, OOH, and event/trade show materials.

  • Tracks budgets across all project types, adjusting scope and timelines as needed while keeping financial health top-of-mind.

  • Develops and implements a project management process and system that aligns resources and creates visibility of resource assignment/accountability across the agency.

  • Seeks continual improvement in processes, tools and methodologies to make delivery and project execution more efficient.

Resource Allocation Management

  • Manages resource allocation for agency, including workflow management of projects, forecasting internal and external resource needs, prioritizing resource demands across clients, and ensuring that resources are assigned to meet deliverables.

  • In collaboration with internal teams, shapes workflows to ensure the most efficient use of resources and timely execution of projects.

  • Identifies and recommends opportunities to optimize the use of contract/freelance resources to supplement internal team bandwidth.

  • Coordinates and manages relationships with creative and freelance resources.

Strategic Internal Partnership & Communication

  • Partners closely with internal leaders and Account Directors to scope projects, identifying opportunities and anticipating client needs in order to support growth; leverages historical data, standard estimation models, and delivery expertise.

  • Maintains regular communication with internal teams, including weekly reporting and updates to ensure accuracy and accountability across agency.

  • Holds regular check ins with the Creative and Account Management teams to address any potential roadblocks.

  • Communicates status updates, risks, and action plans regularly with internal stakeholders; flags any misalignment early to preserve delivery integrity.

  • Facilitates meeting prep, agendas, and post-meeting recaps to drive forward motion and accountability.

  • Provides mentorship and development to internal resources as appropriate.

POSITION REQUIREMENTS, QUALIFICATIONS & SKILLS

  • Bachelor’s degree in project management, marketing, communications, or related field; or equivalent experience

  • 5–8 years of project management experience in an integrated agency or marketing environment

  • Proven experience as an effective project manager; solutions-oriented, highly organized, and comfortable navigating multiple workstreams in parallel

  • Proven ability to manage, organize and coordinate both digital projects (e.g., websites, emails, landing pages, digital campaigns) and traditional marketing executions (e.g., print, video, broadcast, in-store, or event collateral) and design work (brand identity, packaging)

  • Excellent organizational and interpersonal communication skills; thrives in a cross-functional, deadline-driven environment

  • Ability to successfully lead and implement a new project management system and process, influencing stakeholders in the decision-making and implementation process

  • Experience working with project management software

  • Advanced proficiency with the Microsoft Suite, including Word, Excel and PowerPoint

Preferred:

  • Experience managing marketing projects in a medical, technical, or other highly regulated industry

  • Experience selection, introduction and implementation of project management software and processes

  • Project Management Certification preferred
